Hall Hire

Introduction
Thank you for considering booking one of our church halls for your function.  We have two halls, one at Olinda (St Matthew's) and the other at Kalorama (St Michael's).  Please read the following ‘booking process’ and ‘conditions of use’ carefully.  If you would like to proceed with your booking enquiry, please complete the attached form. 

Booking process
Please read and ensure you agree to the terms and conditions outlined on this page. Complete the attached ‘booking enquiry’ form and submit via email to [email protected]  We require a ‘booking enquiry’ form to be submitted before we can arrange a hall viewing or answer any questions about your booking enquiry. Once your ‘booking enquiry’ form is received someone from our office will contact you.  This person will confirm the availability of the hall for your hire date, answer any questions you may have and arrange a time for you to view the hall if you wish to do so. Following the discussion with our office, and if you wish to proceed with your booking, we will email you a ‘booking application’ form.  Please complete the ‘booking application’ form and submit via email to [email protected] Once we receive this form we will confirm your booking with you via email. All bookings are subject to the payment of a security deposit and the full hire fee, and evidence that you have arranged appropriate insurance for your event.

​Conditions of Use
General
  • Persons hiring the hall, ie the person completing the booking application, accept responsibility for the safe custody of property during the term of the hire.
  • In agreeing to the conditions of use, you acknowledges that the Parish Hall is in such a condition at the date of commencement of hiring as to render it completely suitable for the purpose for which you intend to use it.
  • Any damage to the property, furniture or fittings must be reported to the Parish at the earliest time, with the cost of any needed repairs or replacements being your sole responsibility.
  •  You agree to pay the minimum hire fee of $160 for four hours, plus $40 for each hour, or part thereof, of the booking after this. The fee is due one week prior to the hire date.
  • You agree to hire the facilities for sufficient time to include both set up and pack up of your event.
  • You are required to pay the sum of $200 as a refundable security deposit against damage to Parish property, and/or to restore property to its pre hire condition if needed. The security deposit is due one week prior to the hire date.
  • You shall be liable to pay any further amount in excess of the security deposit when requested by the Parish to meet any additional costs of damage or additional cleaning after a hire.
  • Should you not fulfil the terms and conditions, then the security deposit may be forfeited.
  • Your security deposit will be refunded to you within a week of your hire, provided the property remains undamaged.  You will need to provide us with bank account details to facilitate a bank transfer back to you.
Insurance
  • You are required to indemnify the Anglican Diocese and the Parish of Mount Dandenong for any liability arising from the hire and use of the buildings and/or other property.
  • You are required to arrange hall hire insurance your booking using the following link   www.anglicanhalls.com.au  Click on buy now, type Kalorama or Olinda into the search box, ensure you select hall from the options that come up.
  • Evidence of your insurance cover must be sent to [email protected] at least one week prior to your hire date or the booking may not be guaranteed.
  • If you wish to make an insurance claim, you must report any damage to the insurer within 24 hours, as per the terms and conditions of the insurer.
 Health and safety
  • All public health, federal, state and local government directives restricting numbers at a gathering must be followed, whether directives are related to COVID-19 or another health and safety matter.
  • At the time of booking, you must advise the Parish if you will be serving alcohol.
  • If alcohol is to be served, you must nominate a “Function Responsible Person” who must attend the entire function and ensure compliance with responsible serving of alcohol provisions.
  • Alcohol can only be served free of charge, must not be served to persons under the age of 18, and should only be consumed at light to moderate levels.
  • Alcohol must not be served or consumed after 10.30pm.
  • To avoid “gate crashers,” you must not post invitations to your event on social media.
  • To avoid scorching and other damage, food heating appliances should not be placed on or next to the kitchen benchtops, and no food or drink is to be placed on the piano.
  • You agree that you will only use exhibits or decorations within the property that have prior approval of the Vicar/Wardens, and will do so with regard to their safe instillation and removal.
  • You will not make changes to the furnishings and fabric of the property, without the prior agreement of the Vicar /Wardens.
  • The piano is not to be moved from its original position without the prior agreement of the Vicar/Wardens.
  • No item is to be dragged across the floor of the hall.
  • You must ensure there is no smoking within the facility.
 Use of an Anglican facility
  • Anyone who hires or uses buildings and other property of the Anglican Parish of Mount Dandenong agrees to do so in a way that is not contrary to the Christian values and practices of the Anglican Church of Australia.
  • You undertake not to hold any religious services, ceremonies or rituals that are not conducted by the Parish Vicar or his/her nominee.
Vacating the property at the end of the hire
  • You undertake to leave buildings and gardens in a satisfactory and clean condition at the end of the hire.
  • You undertake to remove all rubbish from the hall and surrounds and place this in garbage bins provided in the carpark, and to dispose of alcohol containers in recycling bins provided onsite.
  • You undertake to ensure that no Parish property is removed from the hall or surrounding property.
  • You must ensure that all lights, fans, heaters and other electrical equipment are switched off prior to vacating the property.
  • You must secure all windows and doors upon vacating the property and return any keys to the Parish in the manner and time agreed upon.
  • Evening functions must be finished by 10.30 pm and the property vacated by 11.00 pm.
  • You agree to ensure there is no nuisance to neighbours by way of excess noise, and agree to ensure neighbours and others suffer no inconvenience resulting from the hall hire.
  • Illegal activity must not be carried out in or around the facility.

​Total Fire Ban Policy

Please note that the Parish of Mount Dandenong has a policy in place for days of declared Total Fire Ban. In the event of a declared Total Fire Ban for the hire date, the hall will not be available for use. This is for safety and insurance reasons. If the Total Fire Ban policy is enacted for the hire date, the hirer will be notified as soon as possible and they should seek an alternate venue.  A full refund will be provided, except where the hirer wishes to move the booking to another date.
